Sue Ross Recruitment are working with leading professional services firm based in Chesterfield.

We are looking for an experienced Project Administrator to become a key member of the studio, working closely with associate directors, team leads and team members to provide support in a number of ways.  Alongside general administration duties, quality assurance and data control, the varied role includes assisting the architects and designers with the preparation of design reports and presentations.


  • Manage project document control including any file manipulation, uploading and downloading
  • Maintaining project correspondence and project drawing files
  • Maintaining drawing / other documentation information on database
  • Preparing drawing issues
  • Maintain quality assurance folders to audit standard
  • Ensure fee database is up to date at all times
  • Assist with project documentation and design reports
  • Assist with any typing, proof reading and formatting
  • Diary management for Associate Directors and Team Leads
  • General administration and office duties
  • Assist project teams by printing/scanning/distributing drawings and technical documents to internal and external recipients in electronic and paper form.
  • Save all incoming and outgoing drawing and document files using a clear and consistent file-naming process.
  • Assist project teams, anticipate busy periods and deadlines

The successful candidate must have the following qualifications, skills and expertise:

  • studio administration experience is preferential, and some experience in the creative sector would be an advantage
  • proficient in Microsoft Office and previous experience in using Adobe Creative Suite, particularly InDesign would be an advantage
  • sharp attention to detail
  • candidates must be able to demonstrate they can learn quickly, have self-initiative and work efficiently and effectively within the team
  • excellent verbal and written communication skills
  • confident, friendly, proactive, with masses of common sense
  • strong organisational skills with a meticulous, thorough approach
  • experience working with document control systems Asite, Conject, 4Projects, etc. would be ideal and previous experience within the design and architecture sector would be preferred
