Sue Ross Recruitment are working with a prominent local charity in the recruitment of an HR & Learning and Development Assistant. The successful candidate will provide high quality support throughout the recruitment life cycle processes to the HR Department and Recruiting Managers to ensure the organisation has a forward thinking, efficient and effective recruitment service to attract and appoint the right people, with the right values in the right roles.  The role will also involve supporting the development of resources for recruitment activity including values based selection events and providing comprehensive administrative support to the team across all aspects of HR and L&D.

Key Responsibilities will include:

Providing support with recruitment campaigns including:-

  • From initial request, liaise with the HR team in relation to all aspects of recruitment, keeping them updated in terms of progress
  • Assist recruiting managers with reviewing and drafting adverts, job descriptions, employee specifications and interview questions where necessary and in line with our value based recruitment
  • Ensuring the website and intranet are up to date with current vacancies (paid and unpaid) and that adverts are placed with relevant media, i.e. job boards, 3rd party agencies and job centres
  • Managing the recruitment inbox and on-line applications, responding to applicants as required, within a timely manner
  • Preparation of shortlisting and interview packs for interviews/selection events, create and prepare exercise materials for recruiting managers
  • Co-ordination of recruitment timetables and interview arrangements and liaise with all parties to ensure that interviews take place in a timely and effective manner
  • Participate and support recruiting managers in interviews as and when required
  • Pre-employment checks and tracking including: References; DBS checks and Occupational Health clearance
  • Identification checking including DBS applications and verification of professional registrations, qualifications
  • Preparation of contracts of employment and associated correspondence

To support the induction and integration process for all new starters including:

  • Meet and greet the new starter on their first day
  • Adding all new starters to HR database and ensure that all documentation is complete and scanned onto each record
  • Ensuring all induction checklists are completed
  • New starter orientation programme support – managing delegate list, room bookings and room set up
  • To support the delivery of L&D programmes including:
  • Managing the study leave process, seeking authorisation of Study Leave forms and making course bookings as required
  • Keep the L&D budget monitoring spreadsheet up to date
  • Provide input into the L&D Board report
  • Providing support to staff on E-Learning enquiries
  • Manage the clinical supervision booking system
  • Run L&D reports from Bluestream or Cascade as required
  • Updating training attendance records

To provide general administration and support including:

  • Provide support at HR events as required
  • Check all HR monthly reports (except contract changes) and liaise with managers to ensure records are kept up to date
  • Checking Sickness Absence monthly report, chase staff and managers for sickness certificates, update the record and scan certificates
  • Drafting of all employee letters in relation to new contracts and update HR database
  • Drafting ad hoc correspondence with direction from members of the HR Team
  • Taking detailed minutes in confidential staff meetings as required e.g., investigation meetings, disciplinary hearings
  • Run data, statistics and reports as necessary from the HR and training databases
  • Filing, archiving and scanning for HR and L&D
  • Working with members of the team on nominated HR projects
  • Working closely with the HR team to review processes and procedures and make improvements where possible
