Part-time Sales Administrator/Receptionist (9am to 2pm Mon-Fri) - Sheffield - S8

Details

Sue Ross Recruitment are working with a specialist high tech company in the recruitment of a part-time Sales Administrator/Receptionist.  Working Monday to Friday from 9am to 2pm each day, you will be the first point of contact for all visitors and callers.   You will also be responsible for providing administrative support to the sales team.  This is an interesting and varied role, based from the company’s modern office based in the S8 area of Sheffield.   Responsibilities include:

 

Sales Admin:

  • Deal with all new enquiries by managing an inbox
  • Process quotes and orders
  • Chase lead times
  • Check and advise minimum order quantities
  • Enquire about correct products
  • Check quotes against purchase orders and query discrepancies
  • Checking terms and conditions and payment terms
  • Confirm delivery addresses
  • Collate costs  
  • Discuss errors on purchase orders from customer
  • Chase loan orders
  • Customer complaints
  • Chasing up customers quotations 

Reception:

  • Meet and greet visitors: Sign in 
  • Book and serve buffets
  • Book meeting rooms for colleagues
  • Update buffet and taxi log and send to finance monthly
  • Check and scan buffet invoices – send to finance monthly
  • Distribute deliveries
  • Order stationery and cleaning products
  • Deal with cleaning company
  • Monthly health and safety building walk and logging issues with health and safety representative
  • Weekly fire alarm test
  • Deal with building invoices
  • Building issues – authorising/booking people to come (almost weekly)
  • Help out with Audits
  • Petty Cash- Scan receipts / complete spreadsheet and send to purchasing 
  • Assist with Board Meetings 
  • Book hotels 
  • Answer and direct calls 

Applicants must have relevant and recent administration experience – ideally in a busy commercial office.   Reception and sales administration experience is highly advantageous.   You must have first class communication skills, be well organised and have an professional yet friendly manner.
